This Acceptable Use Policy ("AUP") sets out what Schools and their Authorised Users may and may not do with the ScholaGH platform. It protects students, staff, other Schools, and the Service itself. It forms part of, and is subject to, our Terms of Service. Breaking this policy can lead to suspension or termination.

1. Who this applies to

This AUP applies to the School and to every Authorised User the School gives access to, including administrators, head teachers, bursars, and teachers. The School is responsible for making sure its Authorised Users follow it.

2. General rules

You must use the Service:

  • only for legitimate school-management purposes;
  • in line with the Terms of Service, the Privacy Policy, and Ghanaian law; and
  • with respect for the rights, safety, and dignity of students, parents, and staff.

3. Protecting student and personal data

Because the Service holds data about children, you must take special care. You must:

  • access student and staff Personal Data only where you have a genuine, role-appropriate need;
  • not share login credentials, and not let unauthorised people view Personal Data on your screen or devices;
  • not export, copy, or send Personal Data outside the School except for proper school purposes and with a lawful basis; and
  • ensure the School has the notices and consents it needs before entering data about students, parents, or staff.

4. Prohibited activities

You must not:

  • use the Service for any unlawful, fraudulent, harmful, or discriminatory purpose;
  • upload content you are not entitled to upload, or that is defamatory, obscene, or harmful to a child;
  • enter deliberately false records (for example fabricated attendance, grades, or payment entries);
  • attempt to access data, accounts, or schools you are not authorised to access;
  • probe, scan, or test the security of the Service, or try to break, bypass, or defeat its access controls or two-factor authentication;
  • reverse-engineer, copy, scrape, or resell the Service, or use it to build a competing product;
  • introduce malware, or interfere with or overload the Service or its infrastructure; or
  • misrepresent your identity or your authority to act for the School.

5. Messaging and communication

When sending SMS, WhatsApp, or other messages through the Service, you must:

  • send only messages that relate to the School's legitimate activities;
  • not send spam, bulk unsolicited marketing, or misleading or harassing messages; and
  • respect recipients' requests to stop non-essential messages.

You are responsible for the content of the messages the School sends and for any per-message costs.

6. Security

You must:

  • keep credentials confidential and enable two-factor authentication where required;
  • use up-to-date, reasonably secure devices to access the Service; and
  • tell us promptly at [email protected] if you suspect a security problem or unauthorised access.

7. Fair use of resources

The Service is provided for ordinary school use. You must not use it in a way that places an unreasonable load on the infrastructure, automate access in a way that harms performance, or circumvent usage limits that apply to your plan.

8. Reporting misuse

If you become aware of misuse of the Service, a security weakness, or content that harms a child, please report it to us at [email protected] or +233 53 704 1324 so we can act.

9. Consequences of breach

If this AUP is broken, we may take steps proportionate to the breach, including warning you, removing content, suspending access under the Terms, or, for serious or repeated breaches, terminating the agreement. Where a breach may involve a crime or a risk to a child, we may also report it to the appropriate authorities.
