Refund & Billing Policy

Subscriptions, payments, and what is refundable.

This Refund & Billing Policy explains how subscriptions to ScholaGH are billed, what is and is not refundable, and what happens if payment is late. It forms part of, and is subject to, our Terms of Service. All amounts are in Ghana Cedis (GH₵).

1. Plans and fees

1.1 The Service is offered on a subscription, billed monthly in advance and priced by plan (GH₵). Current monthly plans are Starter Lite ₵500, Starter ₵950, Standard ₵1,450, and Business ₵2,650; Enterprise pricing is agreed separately. Each plan's limits (such as the number of students) and included SMS bundle are shown at sign-up.

1.2 The plan, its Fee, and what it includes are confirmed to you at sign-up.

2. Free trial

2.1 We may offer a free trial of 14 days. During the trial you can use the Service at no charge.

2.2 Unless you subscribe, access ends when the trial ends. We will not charge you for a trial unless you choose a paid plan.

3. Billing cycle and renewal

3.1 Fees are billed in advance for each billing period.

3.2 Subscriptions renew automatically each month. We will bill the next month's Fee at the start of that period unless you have cancelled beforehand. You can cancel at any time to stop future renewals.

4. How to pay

Payment is made by Mobile Money, bank transfer, or another method we make available. You are responsible for any charges your payment provider adds.

5. SMS and messaging charges

5.1 Sending SMS or WhatsApp messages through the Service may carry per-message costs, either included in your plan up to a limit or billed separately, as confirmed at sign-up.

5.2 Messaging charges already incurred are not refundable, because the messages have already been sent through our provider.

6. Taxes

Fees are exclusive of any taxes or levies the law requires to be added (for example VAT/levies). Where applicable, these are added to your invoice and are payable by you.

7. Refunds

7.1 Cooling-off. If you have just started a new paid subscription and have not made meaningful use of it, you may request a refund within 14 days of the first payment.

7.2 Part-used periods. Once a billing period is under way and the Service has been available to you, Fees for that period are generally non-refundable, because the Service has been provided.

7.3 Service failure. If the Service is unavailable for a prolonged period due to a fault on our side, contact us and we will consider a fair credit or partial refund in good faith.

7.4 Non-refundable items. SMS/messaging charges already incurred, and any third-party payment fees, are non-refundable.

7.5 Approved refunds are made using the original payment method where possible, within a reasonable time.

8. Late payment and non-payment

8.1 Fees are due by the date on the invoice. We may allow a grace period of 7 days after the due date.

8.2 If Fees remain unpaid after the grace period, we may suspend the Service under clause 9 and the Terms of Service, after giving you notice.

8.3 Persistent non-payment may lead to termination and to deletion of data after the Export Window described in the Terms.

9. Suspension and reactivation

9.1 If we suspend the Service for non-payment, your data is retained during the suspension and you can restore access by settling the outstanding Fees.

9.2 We will give reasonable notice before suspension where practicable, so a School is not caught by surprise mid-term.

10. Price changes

We may change Fees. We will give reasonable advance notice (for example before your next renewal), and the new Fee applies from the next billing period. If you do not accept a price change, you may cancel before it takes effect.

11. Cancellation

11.1 You may cancel your subscription at any time; cancellation takes effect at the end of the current billing period, and you keep access until then.

11.2 On cancellation, the Export Window and deletion process in the Terms of Service and Data Processing Agreement apply to your data.
